Executive Administrative Assistant, Office of the Chairman & CEO

Located at our Corporate headquarters in downtown Columbus, Huntington Bank is currently seeking an Executive Administrative Assistant to support the office of the Chairman, President and CEO. The Executive Administrative Assistant supports the day to day running of the office by following procedures and practices to facilitate the effective and efficient delivery of service and administrative support to the CEO. This individual will perform a wide range of administrative support activities and provide assistance to the Chairman, President and CEO.

This is a non-exempt position and reports to the Office Manager for the Office of the CEO. The core hours are 9 a.m. -- 6 p.m. Monday -- Friday, with the need for flexibility and availability outside of the core hours as required.

Detailed Responsibilities include:

  • Coordinates the agenda of executive leadership team meetings and off-sites
  • Manages all event planning, including ticket management and reservations for the CEO. Includes invitations, sporting events and ticket distribution
  • Coordinates meetings with EA's from all executive leaders to ensure open communication related to events and schedules that impact the entire leadership team
  • Processes all external mail for the CEO
  • Maintains contact lists and sends blast emails as directed
  • Coordinates on-site meetings (room set-up, catering requirements/coordination)
  • Coordinates leadership team vacation and holiday schedules
  • Maintains sharepoint site with materials for meetings and events
  • Maintains birthday and service anniversary calling list for the CEO
  • Works closely and effectively with the Office manager to keep her well informed of upcoming commitments and events for the CEO, following up as appropriate.
  • Answers phones and files.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
  • Works effectively as part of a team to ensure seamless support to the CEO and those that interact with his office
  • Participates in scheduling and travel arrangements as assigned by the Office Manager
  • Special payment authorization processing
  • Ability to use Access database for the maintenance of records and reports
  • Transcription from the CEO
  • Driver coordination as needed
  • Provides back-up to the Office Manager as needed

Basic Qualifications:

  • High school Diploma or GED
  • A minimum of 5 years of administrative experience supporting senior level executives
  • A minimum of 7 years of experience with Microsoft Office (Word, Excel and Power Point)
  • Proficient in all Microsoft office applications.

Preferred Qualifications:

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Access and Visio experience preferred
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Detail oriented and forward looking thinker, who actively seeks opportunities and proposes solutions
  • Project Management and Continuous Improvement skills a plus
  • Must have integrity and be willing to be a brand ambassador
